Migration

Leave QuickBooks with your history intact

Migration is the reason most companies stay on software they have outgrown. KAPITAH ships the migration as a product: templates, mapping, historical loads, and a tie-out that proves the books balance before you go live.

What actually stops the switch

“We’ll lose our history”

Historical journal entries, invoices, and bills import period by period so prior-year comparatives, aging, and audit trails survive the move.

“Our chart of accounts is a mess”

Hierarchical QuickBooks accounts are parsed, classified, and renumbered against an IFRS/GAAP template — with a preview before anything is created.

“The balances won’t tie”

The go-live tie-out reconciles debits to credits, open AR and AP to their control accounts, and inventory value to the ledger before you cut over.

“It will take months”

Lists and open balances load in an afternoon. Most companies run parallel for one period and shut QuickBooks off at the next close.

The six-step migration

01

Export

Pull lists, open AR/AP, inventory, and transaction detail from QuickBooks as CSV. Templates are provided for every entity.

02

Map

Chart of accounts templates plus auto-numbering classify parent/child accounts. Review the proposed mapping line by line.

03

Load

Customers, vendors, items, opening trial balance, open documents, and historical transactions import with a create-or-stop preview.

04

Tie out

Run the go-live check: GL balanced, subledgers tied to control accounts, inventory valued, master data counted.

05

Configure

The setup agent wires control accounts for every module — AR, AP, inventory, tax, payroll, POS — and creates what’s missing.

06

Cut over

Lock the prior period, post first live transactions, and keep QuickBooks read-only as your archive.

The go-live tie-out

No migration is finished until the numbers agree. Before your first live transaction, KAPITAH runs an automated readiness check and tells you exactly what to fix.

  • Total debits equal total credits across every posted period
  • Open A/R detail agrees to the A/R control account
  • Open A/P detail agrees to the A/P control account
  • Inventory valuation agrees to the inventory control account
  • No negative on-hand quantities in any warehouse
  • Accounts, customers, vendors, and items counted against your source
